This may involve audio recordings and transcripts of discussions about your financial situation. These tools may process your information through third-party systems, which may be located overseas. By signing below (or by continuing to engage our services after being notified), you consent to the collection, use, storage, and disclosure of your personal information as described above. If you prefer not to be recorded, we can take manual notes instead. You may withdraw your consent to specific uses (such as meeting recording) at any time by notifying us, although this may affect our ability to provide services.

Third-party providers: We use a third-party service provider called Microsoft Teams, Zoom and Otter to process recordings and generate notes. They are contractually bound to protect your information. Data may be stored overseas, such as United States.

Retention and Security: Recordings and/or transcripts will be kept for a minimum of 7 years (as that is our regulatory requirement), or longer if deemed necessary. All client records, including these recordings and transcripts are protected in the same way that all other electronic files are safeguarded within our system.

Privacy on Our Websites: We gather information and statistics about all visitors to this and all of our websites, including the most frequently accessed pages and most frequently used services. We only use such data in aggregate form (that is, the information does not identify any one individual). This information helps us determine the most beneficial parts of our websites and ways in which we can continually improve our online services to create a better overall experience for our users. We may also publish some of this aggregate (non-identifiable) information on the Jaime James Financial & Insurance website.
